A.G.E.N.T Privacy Notice
Effective Date: June 2026 | Data Controller: Giveback Impact Foundation
Who We Are
A.G.E.N.T (Assisted Guardian for Early Notification & Tracking) is a child protection reporting and case management platform operated by the Giveback Impact Foundation. When you use A.G.E.N.T to report a concern about a child, your information is handled by us — the Foundation — and shared only with the trained social welfare officer assigned to help.
We are registered as a Data Controller under the Ghana Data Protection Act 2012 (Act 843).
What We Collect — and What We Do Not
What we collect when you make a report:
- The details of your concern — what you observed, where, and what type of situation it is.
- Your district or community — so we can assign the right officer.
- Your name and contact details — only if you choose to provide them. You can report completely anonymously.
What we never collect:
- Your location beyond the district or community name you tell us.
- Photos or videos — we do not accept these through any channel.
- Your national ID or any government document numbers.
- Your medical or health information.
What happens to your phone number:
If you report via WhatsApp, SMS, or a phone call, your phone number is scrambled immediately using a one-way process that cannot be reversed. We cannot read your number back even if asked. It is kept only to prevent the same number from submitting duplicate spam reports.
How We Use Your Information
We use your report for one purpose only: to create a confidential referral for a trained social welfare officer who will take action to protect the child.
Your information is never used to:
- Train artificial intelligence models.
- Compile statistics that identify you personally.
- Share with funders, donors, or institutional partners in a form that identifies you or the child.
- Contact you for any purpose other than updating you on the case you reported (and only if you provided contact details).
Who Can See Your Report
| Person | What They Can See |
|---|---|
| The social welfare officer assigned to your case | The full report you submitted. |
| Their district supervisor | Case progress — not your identity if you reported anonymously. |
| Foundation system administrators | Everything — but all their actions are logged and audited. |
| Funders and partners (including institutional funders) | Anonymous statistics only — never your report or identity. |
| Anyone else | Nothing. |
How Long We Keep Your Information
| Information | How Long |
|---|---|
| Your messages and voice (WhatsApp, SMS, calls) | Deleted within 60 minutes of your report being saved. |
| Your report and the case details | Kept for the life of the case, plus 7 years after it closes — required by Ghana's Children's Act 1998. |
| Your phone number hash (scrambled) | Kept for spam prevention only. |
| Your name and contact details (if you provided them) | Kept encrypted for the life of the case. |
Your Rights
Under Ghana's Data Protection Act 2012, you have the right to:
- Know what personal information we hold about you.
- Correct any information that is wrong.
- Request deletion of your personal information (subject to our legal obligations under the Children's Act).
- Withdraw consent at any time (this does not affect reports already submitted).

The Messaging App You Use
If you report via WhatsApp, please be aware that WhatsApp is operated by a third-party company that has its own privacy policy. That company retains certain information about your use of their app (such as the fact that you sent a message and when) under their own terms. A.G.E.N.T does not control what that company retains.
Similarly, if you report via SMS or USSD, your mobile network operator can see that you sent a message to our number. This is why we never ask you to send sensitive details by SMS — we direct you to a secure web form or arrange a callback instead.
Children's Information
Information about a child reported through A.G.E.N.T is treated as a child welfare record under Ghana's Children's Act 1998. It receives the strongest protections available under that Act. It is never shared with anyone not directly involved in the child's case.
Complaints
If you believe your data has been mishandled, you have the right to lodge a complaint with the Ghana Data Protection Commission (www.dataprotection.gov.gh). You may also contact our DPO directly before escalating.
